Waupun Hockey Association-- Season 2009-2010
Dear Association Members and Friends,
Welcome back to another exciting, fun filled season of hockey!! I would like to take this opportunity to thank each and every family for your support and participation in this year’s hockey program. It is my hope that each and every family captures the enjoyment of watching their children learn and grow through teamwork and sportsmanship.
Waupun Hockey Association has been in place for many years. Our main purpose is to provide a youth hockey program in and around the Waupun area. Our goal each year is to provide an opportunity to skate, regardless of each individual’s ability, and allow for the development of their skating and hockey skills. Hopefully we create an environment in which skaters can learn the game and most of all have fun.
We encourage positive feedback, and good compliments to help develop a child’s attitude for the game. As parents we need to concentrate on the small details that reflect on our children, no matter what the outcome of the game. Children learn from the parents, and positive reinforcement is something they will carry on to their adulthood.
If there is any and I mean any question, concerns, or comments, please feel free to contact any board member or myself. We always appreciate input and new ideas. Let’s make this year another positive experience for Waupun hockey and everyone involved.

WHA Mission Statement
The Waupun Hockey Association is a community-based, non-profit organization formed to instruct, promote and provide an affordable opportunity for our youth to compete in the sport of ice hockey.
As Board members, coaches, parents or players, we are committed, but not limited to…
· Putting our children’s interest first!
· Providing a positive and proactive environment of learning the great game of hockey.
· Promoting and developing mutual respect for our facility, for ourselves, our teammates, our coaches and our competition.
· Provide and promote a safe environment for everyone
· Develop life skills through building character, self reliance, teamwork , and the value of hard work and honesty
· Provide an environment where all members are welcome and encouraged to; ask questions, communicate concerns and offer suggestions.

WHA Handbook
We provide this handbook to all WHA members to help assist with frequently asked questions. Please read and keep this book to answer your questions or contact a Board Member to assist you.
While the policies in this book are reviewed/revised on an annual basis; WHA still reserves the right to make changes or revisions after the handbook has been released. We will keep you informed of any changes or revisions that may occur.

FAMILY VOLUNTEER WORK HOURS
Each Family will be responsible for fulfilling Summer and Winter Volunteer Work Hours.
Summer Work Hours
One of our primary fundraisers, Waupun Truck-n- Show, occurs in the summer time. These fundraiser hours are critical to the operation of WHA. Without this help, we would not be able to afford the opportunity for our youth to compete in the sport of hockey by keeping our registration costs among one of the lowest in the state.
Below are the requirements needed to fulfill the mandatory summer work hours: 1st child – 8 hours
2nd child – 4 hours
3rd child – 4 hours
16 hours max per family
Winter Work Hours
Each family is responsible for 10 volunteer winter hours. (10 hours per family)
Winter hours begin at board set up and end at board removal. (Dates TBD)
Facts
- These volunteer hours are above and beyond the time required to work the concession stand during the regular season.
Concessions stand scheduled hours DO NOT count towards voluntary work hours.
- These volunteer hours are above and beyond the time required for scheduled rink cleaning. Rink cleaning scheduled hours DO NOT count towards voluntary work hours.
- Scorekeeper and Timekeeper during regular scheduled season games DO NOT count towards volunteer hours
- Helping set-up boards and put glass in DOES count toward volunteer work hours
- Helping prep or paint ice DOES count towards volunteer work hours
- Glass and Board cleaning during the year DOES count towards volunteer work hours
- Scorekeeping, Timekeepers, Grillers, or Ticket takers during WHA tournament events DOES count toward volunteer work hours
It is the responsibility of the person working to ensure they complete the event sign in sheet and/or Volunteer Work Hour Form. Volunteer Hours must be arranged and or approved by the Rink Manager.
Form must be legible, all information filled in and turned into volunteer hour drop box no later then 2 weeks after hours worked or it will not count.
Exempt from Winter Work Hours (Winter hours only) are:
Executive and Auxiliary Board Members, Scheduler, Registrar, Coaches and Managers
Penalty for Hours NOT Met
If volunteer hours are not met there will be a monetary penalty-$25 per hour short.
We can not stress how much we need your help during summer and winter responsibilities and events. Your help and input are vital to the continued success of this organization as a whole. In addition, these hours can be a great way to get to know other hockey parents.
If anyone has any suggestions in regards to voluntary work hour requirements please feel free to contact any board member.
. CONCESSION STAND INFORMATION
The Waupun Hockey Association is proud to offer quality skating programs at a reasonable cost to the youth in our area. Our concession stand provides a valuable and cost-effective opportunity to contribute to the funding of these programs. As all skaters benefit from this resource, we require each hockey family to contribute by assisting the association with the staffing of the concession stand throughout the season.
Each family will receive a schedule that indicates the date(s) and time(s) that you have been scheduled to staff the stand.
If you can not work your scheduled time it is your responsibility to:
1. Call other team members for a “SWITCH”
2. Call parents from other teams for a “SWITCH”
3. Call your team representative for a solution only if you have tried all of the above possibilities.
If you do not show up for work on your scheduled time:
1. The Concession stand scheduler will confirm the “no show”
2. A “no show” will be scheduled as soon as possible
3. If there is a “no show” on the rescheduled time:
a. A fee of $50.00 per hour missed will be assessed
b. Time missed will be scheduled again
c. Child will not be allowed to skate
d. A “no show” will be referred to the board for disciplinary action
Your Auxiliary team representative will be there to open the stand for you if you are the first individual scheduled for the day; please do not hesitate to ask questions. When working the stand, please check the list of shift duties and/or closing procedures posted on the back of the door. The procedures for depositing money are posted by the cash drawer.
For safety concerns, it is important that a parent be present for the entire shift. During busy times such as High School Varsity or Wolves games and tournaments, please make every effort to have both parents in the stand during your scheduled time. Children will not be allowed in the stand during these busy times.
POLICY: No free food, drinks, or I.O.U.’s,
SOUP SCHEDULE
Each family will be assigned a weekend when we ask you to provide soup for the concession stand. On your scheduled weekend, please deliver the soup to the concession stand on Friday. Please have the container labeled with your name, the date the soup was made, and what kind of soup it is.

RINK CLEAN UP
It is important that we respect and maintain our facility through out the season. You and your team may be assigned rink clean up duties which include, but not limited to, removal of garbage, sweep or mop the bleachers, locker rooms and Blue Line room. Schedules and details will be communicated by coaches and/or posted in the office.
SAFETY POLICY
Your safety and that of your children is very important to WHA.
To provide and promote a safe environment for everyone, all members and visitors are required to follow all posted safety notices and policies that include but not limited to; no horseplay, running, equipment storage etc. WHA is not responsible for watching/babysitting of any minor children. It is the responsibility of all parents/guardians to watch over minors under their care. If anyone is incapable of doing so steps may be taken up to and including removal from the rink. Penalties enforced are at the sole discretion of the acting rink manager. We ask that you keep an eye on your children not only for their safety but for the safety of all in the rink. EQUIPMENT POLICY
To help keep your costs down, WHA does provide equipment and uniforms.
It is the responsibility as a parent or guardian to see that the equipment is kept in good shape.
The equipment/uniform must be returned to the Waupun Hockey Association at the end season in order for you to receive your Hockey Unlimited Ticket.

A volunteer rink manager is on duty during open skating however, due to the increase in the number of children attending, it would be appreciated if parents would remain to supervise their children.
BOARD MEETINGS
Board of Director and Auxiliary Board Meetings are open to the public. Dates and times can be found posted in the Community Center office or contact a Board member for more information.
SPECIAL EVENTS
Skaters: This is an annual social event for the “women” members of WHA. Typically involves a meal and fundraising opportunities such as an auction and raffles. Typically occurs in the fall.
Ice-Out: This is a get-together informal event for all members of WHA just prior to the ice going out. Typically consists of a “potluck” and the last opportunity to skate on ice. This is also the time for Board member nominations. Typically occurs in late March or April
Youth Banquet: This is a potluck gathering for all WHA members. Coaches speak about and award players and teams. Board member elections take place. Typically occurs in April
Hockey Unlimited: This is an annual social event for the “men” members of WHA. Typically involves a meal and fundraising opportunities such as an auction and raffles. Typically occurs in late spring.
Tournament Opportunities: WHA is also given the opportunity each year to hold several tournaments such as, but not limited to, Mini Mite Tourney with Fond du Lac, State or Regional Tourney events, Senior Class Tourney.
Fundraising Events: Some of our primary fundraisers, Prison City Tractor Pull and the Waupun Truck-n- Show, occur in the summer time.
